Add a photo, birthday, and other details

Contacts can hold more than a name and email address. You can attach a photo, record where someone works, store their birthday and postal address, and add free-form notes. All of these fields are optional and can be filled in when you first create a contact or added later.

To open the edit form for an existing contact, click the contact in the list, then click the pencil icon (Edit) in the toolbar. To fill in the fields while creating a new contact, open the form with Create contact in the sidebar.

Add a photo

The avatar circle sits at the top of the edit form. Click the camera button at the bottom right of the circle. A small menu opens with two options:

  • Upload from files: opens a file picker so you can choose an image from your computer.
  • Remove avatar: removes the current photo (this option only appears when a photo is already set).

After you pick a file, the image uploads and the preview updates straight away. The photo is saved when you click Save.

Workplace details

In the Basic Information section:

  • Company: the organisation this person works for.
  • Job title: their role at that organisation.

Both fields appear together in the contact detail view, shown as "Job title at Company".

Labels

Labels let you group contacts into categories. In the Labels row, pick a label from the dropdown to add it to this contact. A label appears as a coloured badge. To remove it, click the small trash icon on the badge. You can apply more than one label to the same contact.

Labels must exist before you can assign them. See Organise contacts with labels and groups for how to create them.

Postal addresses

In the Contact Information section, find the Addresses area. An empty address block is shown by default. Fill in as many of these sub-fields as you know:

  • Street
  • City
  • State
  • Postal code
  • Country

To add a second address, click Add next to the Addresses heading. Each address block shows a trash icon when there is more than one, so you can remove any you no longer need.

Birthday

In the Additional Information section, click the Birthday field and pick a date. The birthday appears in the contact detail view with a calendar icon.

Notes

The Notes field in the Additional Information section is a free-text area. Use it to record anything else you want to remember: how you met, preferred contact method, or any other context. Notes appear in the contact detail view below the other information.

Save your changes

Click Save at the bottom of the form when you are done. You are taken back to the contact detail view where the updated information is shown. To discard your changes, click Cancel.
